FUNDRAISING POLICIES & PROCEDURES
All Bill Roberts PTA fundraising is conducted through the Fundraising Committee. The Fundraising Policies and Procedures have been created to clearly communicate the manner in which the PTA conducts fundraising. In addition, a full calendar of fundraising events is published at the beginning of each school year to enable school families and supporting business to plan their giving to the school. The PTA is concerned with establishing and maintaining a good reputation in the school and neighborhood community by avoiding inundating requests for money or in-kind donations. Our principal, Trich Lea supports this approach and require ALL school fundraisers to be communicated to and approved by the PTA Fundraising Committee.
The Fundraising Policies and Procedures are as follows:
- All proposals or suggestions for any fundraising event or “partnering” idea must be discussed with and approved by the Fundraising Committee.
- The Fundraising Committee will hold a meeting at a published time and place in May each year to review the prior school year events and establish a draft fundraising calendar for the next school year.
- At the May meeting the Committee will consider all proposals submitted during the prior year. Any proposals received during a school year may not be reviewed or considered until the May meeting.
- In considering proposals the Committee will weigh the proposal against existing events, giving weight to the percentage return to the school (50% is the minimum return for any sales event) and the appropriate nature of the event in light of the school and Stapleton communities at large.
- After final approval by the PTA Board, the Committee will publish the final fundraising calendar.
- All approved fundraising events will be led by a Fundraising Committee member or a Bill Roberts PTA member who is required to work in conjunction with the Fundraising Committee.
- All fundraising proposed by Bill Roberts staff for specific classrooms, grades, or areas of need must be submitted for prior approval by the Fundraising Chair or President. The results of Bill Roberts staff-supported fundraisers must be reported to the Fundraising Chair so that the PTA can track and report where donated funds are spent at Bill Roberts.
